Surrounded by lush landscaping, taupe and charcoal pavers will line the driveway and walkway – beckoning homeowners and guests to the casual, modern interior beyond dramatic 10-foot black iron and glass entry doors. A soft gray exterior will be complemented by a dark gray flat-tile roof, light gray railings, white windows, and soft black garage doors and Bahama shutters. These materials will perfectly blend a modern approach to classic Florida design for the comfortable luxury that defines Theory Design.

CORE RESPONSIBILITIES

  1. Work closely with Designers’ and Design Assistants.
  2. Procurement of furnishing, fixtures, fabric, wallcoverings and equipment and research on sourcing products for multiple projects.
  3. Heavy phone calls to follow up on orders, shipping, delivery dates, etc.
  4. Preparing purchase orders and entry into Design Manager software
  5. Matching invoices with purchase orders and delivery tickets.
  6. Assist with maintaining client, subcontractor, supplier, and vendor files.
  7. Plan, schedule, and forecast procurement activities
  8. Purchase general and specialized materials as directed by designers, and subcontractor services for construction projects.
  9. Review plans, specifications, and contracts to ensure the correct materials and subcontractor services are ordered and/or purchased.
  10. Maintain project files for multiple projects.
  11. Invite estimates, consult with suppliers, and review quotations with design team.
  12. Determine or negotiate contract terms and conditions, award supplier contracts or recommend contract awards as directed.

REQUIREMENTS

  1. Must be able to multi-task and work well under pressure.
  2. Must be able to relate and coordinate with the finance department project funding needs on a weekly basis.
  3. Must know how to create reports in MS Excel and understand the Schedule of Values and budgets.

EDUCATION & SKILLS

  1. Must have knowledge and purchasing background
  2. Must have some accounting knowledge
  3. Ability to learn or have experience working with Design Manager software is a Plus!
  4. Must have at least 2 years’ experience in general furnishing purchasing duties.
  5. Must have computer literacy, including strong experience in MSWord, MS Excel (spreadsheets, pivot tables, etc.). Design Manager software experience is a plus.
  6. Ability to work under deadline situations and respond to changes in priorities.

CORE RESPONSIBILITIES

The Finance Manager directs and supervises the complete accounting system and financial function of the design firm. This includes charges, billing, A/R, cash receipts, collections, A/P, payroll, general ledger, forecasting, budgeting, internal controls, and audits.
 

  1. Ensure updated and accurate financial records.
  2. Responsible for Accounts Payable and Accounts Receivable.
  3. Oversight of furnishing purchases.
  4. Oversight of all orders.
  5. Preparing purchase orders and entry into Design Manager software.
  6. Assist with maintaining client, subcontractor, supplier, and vendor files.

Renovation Design

We understand that your renovation project, regardless of the size of that project, can become a daunting and frustrating task. Theory Design will be there to guide you through the process from the initial planning stage, product selections, as well as coordinating with the contractor. Your experience will be a much smoother process with our design coordination. We understand the hurdles that can arise in the middle of a renovation including delays with unexpected site conditions. We realize there could be possible design alterations and are prepared to offer solutions to avoid delays and cost overruns.

Residential Design

The Theory Design team will get involved early in your home design process. We get to know you, your lifestyle, your budget and your style to create a Design Concept. We then collaborate with you, your Architect and Builder as well as the Landscape Designer to create a functional plan that reflects the Design Concept. We create your color scheme and interior details. We select and specify every element of your home down to the smallest detail. Theory Design is engaged in the process of designing your home from start to finish.

Interior Design Assistant
